Job Description:

Our client is looking to fill the role of Executive Personal Assistant. The Executive/Personal Assistant works to conserve Executive Producer/President’s time by maintaining calendars, managing communications, arranging for activities and services and assisting with projects as assigned. This individual must be capable of working closely with the Executive Producer/President, Executive Assistant and handling information with great discretion and confidentiality.

Job Responsibility:

  • Provide comprehensive administrative support, maintaining awareness of the Executive Producer/President’s daily activities, priorities, and ongoing projects
  • Manage and coordinate the Executive Producer/President’s calendar, including scheduling, confirming appointments, and preparing detailed itineraries and meeting logistics
  • Arrange and oversee travel, dining, and accommodation reservations to ensure seamless execution
  • Establish and maintain organized, efficient, and confidential filing systems
  • Conduct research and prepare reports, briefing materials, and summaries as needed
  • Proactively anticipate needs, identify potential issues, and implement solutions with minimal direction
  • Exercise sound judgment and discretion when handling sensitive information, knowing when to escalate matters appropriately
  • Draft polished correspondence and represent the executive professionally in interactions with high-level stakeholders
  • Manage multiple priorities and workstreams, ensuring tasks and projects remain organized and on track
  • Support executive assistant with development efforts for Retro Report, including coordinating with consultants and maintaining prospect pipelines across individual, institutional, and corporate donors
  • Collaborate on logistics for special events, board meetings, and related engagements
  • Take initiative on additional projects and responsibilities as assigned

Requirements:

  • Bachelor's degree preferred
  • Minimum 10 years administrative experience preferred
  • Demonstrated computer skills

  • Ability to manage multiple projects and tasks simultaneously
