Our client is looking to fill the role of Executive Personal Assistant. The Executive/Personal Assistant works to conserve Executive Producer/President’s time by maintaining calendars, managing communications, arranging for activities and services and assisting with projects as assigned. This individual must be capable of working closely with the Executive Producer/President, Executive Assistant and handling information with great discretion and confidentiality.
Job Responsibility:
Provide comprehensive administrative support, maintaining awareness of the Executive Producer/President’s daily activities, priorities, and ongoing projects
Manage and coordinate the Executive Producer/President’s calendar, including scheduling, confirming appointments, and preparing detailed itineraries and meeting logistics
Arrange and oversee travel, dining, and accommodation reservations to ensure seamless execution
Establish and maintain organized, efficient, and confidential filing systems
Conduct research and prepare reports, briefing materials, and summaries as needed
Proactively anticipate needs, identify potential issues, and implement solutions with minimal direction
Exercise sound judgment and discretion when handling sensitive information, knowing when to escalate matters appropriately
Draft polished correspondence and represent the executive professionally in interactions with high-level stakeholders
Manage multiple priorities and workstreams, ensuring tasks and projects remain organized and on track
Support executive assistant with development efforts for Retro Report, including coordinating with consultants and maintaining prospect pipelines across individual, institutional, and corporate donors
Collaborate on logistics for special events, board meetings, and related engagements
Take initiative on additional projects and responsibilities as assigned
Requirements:
Bachelor's degree preferred
Minimum 10 years administrative experience preferred
Demonstrated computer skills
Detail-oriented
Ability to manage multiple projects and tasks simultaneously
