We are seeking a world-class Executive Assistant for the CEO to enable a high-performance, multi-city operational rhythm across the globe. This role goes far beyond traditional administrative support. You will act as a strategic partner, logistics architect, and operational force multiplier, ensuring the CEO can operate at peak cognitive and creative performance with zero friction, regardless of geography. You will manage a globally distributed personal operating system — overseeing residences, travel, scheduling, communication flows, and high-stakes interactions — while navigating a fast-paced environment with discretion, cultural fluency, and impeccable execution. This position is ideal for someone who thrives in ambiguity, anticipates needs before they arise, and excels at orchestrating complex cross-border logistics with calm precision.
Job Responsibility:
Executive Operations: Manage the CEO’s calendar, priorities, and communication flow across global time zones to maximize strategic focus and impact
Global Travel Management: Implement an international travel SOP end-to-end, including visas, airport services, accommodations, workspace setup, housekeeping, and logistical preparation
Multi-City Residence Management: Oversee the CEO’s residences in US and APAC —ensuring each location is fully stocked, prepared, and functioning prior to arrival
Lifestyle Systems & Personal Ops: Manage errands, private meeting scheduling, restaurant reservations, and recurring personal needs with discretion and efficiency
Proactively resolve unexpected issues—such as flight disruptions, hotel challenges, or last-minute schedule changes—demonstrating exceptional problem-solving and adaptability
Confidential, High-Judgment Support: Handle sensitive information, high-stakes interactions, and dynamic changes with professionalism and impeccable judgment
Requirements:
3+ years of relevant experience as a Personal Assistant, Lifestyle Manager, Executive Assistant, high-end hotel concierge, or cabin crew serving premium clients
Fluent English communication skills, with the ability to operate confidently in international environments and handle global travel logistics
Proven ability to travel frequently and work flexible, non-standard hours, including last-minute schedule changes and extended trips
High level of integrity, discretion, and professionalism, with a demonstrated commitment to confidentiality and protecting personal privacy
Strong service mindset and people skills, with refined etiquette, a polished presence, and the ability to anticipate needs before they arise
Ability to stay calm under pressure, adapt to rapid changes, and operate with absolute reliability
