Executive & Director Support (Global): Act as a strategic partner to directors: anticipate needs, structure priorities, and translate loose requests into clear, executable actions
Manage diaries, schedules, inboxes, and travel logistics across multiple time zones, using automation and rules where possible
Handle correspondence, meeting preparation, follow-ups, and stakeholder coordination with professionalism and discretion
Track delegated actions across teams, chase progress, and provide clear status updates
Lead small projects end-to-end with minimal handholding (timelines, stakeholders, deliverables)
AI, Systems & Operations: Use AI tools (e.g. Microsoft Copilot, ChatGPT, automation platforms) to: Conduct research and distil insights into concise briefing notes
Draft communications, presentations, reports, and internal documentation
Build and maintain efficient workflows and digital filing systems (SharePoint/OneDrive with structured metadata)
Create and maintain templates, dashboards, trackers, and operational documents
Continuously identify opportunities to improve efficiency, automate tasks, and introduce forward-thinking solutions
HR & Office Management – India Office: Support HR and office operations for the India team, including: Assisting with recruitment coordination (job postings, CV screening, interview scheduling, candidate communication)
Supporting onboarding and offboarding processes
Acting as a coordination point for office administration and basic people operations
Maintain clear documentation, trackers, and processes to support a growing remote and in-office team
Liaise between directors and the India office to ensure smooth communication and execution
Communications & Brand Support: Support social media research and execution (LinkedIn, Instagram, etc.)
Assist with light content coordination, research, and scheduling where required
Requirements:
3+ years’ experience as a PA/EA supporting senior or executive leadership
Excellent written and verbal English
confident drafting polished emails, documents, decks, and communicating with stakeholders globally
Strong tech-forward mindset: Proficient in Microsoft 365, Microsoft Copilot, SharePoint/OneDrive (including metadata structuring)
Comfortable with inbox/calendar automation and digital productivity tools
Demonstrated use of AI tools to enhance research, workflows, or communications
Highly organised, able to juggle multiple priorities with rigorous follow-through
Experience supporting research and execution, not just administration
Discreet, trustworthy, and comfortable working independently while keeping directors fully informed
Curious, hungry to learn, and motivated to grow beyond a traditional EA remit
