In this role, you will provide comprehensive personal and administrative support to a member of WBL’s C-suite team. Your responsibilities will include managing household operations across multiple properties, overseeing personal logistics, handling financial tasks, coordinating calendars and scheduling meetings, arranging travel, and managing various ad hoc projects as needed. Strong communication skills, exceptional attention to detail, and sound judgment are essential as you work closely with internal and external stakeholders to ensure smooth management of both personal and professional matters for the executive.
Job Responsibility:
Manage and maintain the executive´s calendar, including scheduling internal and external meetings across multiple time zones
Screen and prioritize emails, messages, and requests for C- Suite Executives
Coordinate travel arrangements, itineraries, and logistics for domestic and international trips
Prepare documents, presentations, and briefing materials ahead of meetings
Take notes during key meetings and ensure timely follow-ups on action items
Anticipate the needs of the C Suite Executives and proactively resolve scheduling conflicts or gaps
Support in organizing off-site meetings, company-wide events, and executive leadership sessions
Prepares business cases, dashboards, and strategic updates for leadership reviews and board-level materials
Assist with personal tasks as needed, maintaining a high level of trust and discretion
Identifies operational bottlenecks and escalates issues with recommended mitigation steps
Execute complex and detailed travel arrangements (including scheduling and managing of car services and, on occasion, flight and hotel accommodations), including preparing itineraries and compiling necessary documents
Handle expense reporting, invoice processing and other financial matters
Facilitates communication to ensure that directives, timelines, and expectations are understood and consistently applied
Synthesizes data, reports, and business metrics into concise briefings for senior leaders
Real-time updating, tracking, management and effective reporting of all departmental tasks and meeting takeaways (whether assigned by the CIO/CFO/CLO directly, or by the C-level executive to their staff) via Monday.com

Requirements:
5+ years of experience as an Executive Assistant, preferably supporting C-level executives
Bachelor’s degree in Business Administration, Accounting (or related field of study), or equivalent experience
Exceptional English communication skills, both written and verbal, are imperative
Proven experience managing complex calendars and logistics across time zones
Highly organized, detail-oriented, and able to multitask efficiently
Demonstrated ability to handle confidential information with discretion
Strong proficiency in Microsoft Suite (Word, Excel, PowerPoint), Zoom, and Teams
Comfortable working independently in a fully remote, fast-paced environment
Must be sharp, polished, professional and resourceful
Impeccable diligence and attention to detail is required
Must be flexible, nimble and adaptable to frequent changes to schedules/priorities
Financial analysis skills, including maintaining financial matters, budgets and expenses, required
Strong organizational, time-management and problem-solving skills, including planning, project management, troubleshooting and task facilitation
Must be proactive with a strong work ethic and high energy level
Ability to multitask and complete all projects within designated timeframes
Evening/weekend 'on call' availability required
