About the role: The purpose of this role is to provide seamless, high-level administrative and organisational support, ensuring the effective management of complex schedules, meetings, and travel for both the CEO and ComXo. Working in a fast-paced and high-profile environment, the Executive PA must demonstrate strong organisational skills, professionalism, discretion, and the ability to manage multiple priorities with efficiency and confidentiality. Some days will be planned. Others will change quickly. The right person will be steady, adaptable and capable of bringing calm structure to a busy environment. This role is suited to an individual with at least 2 years of experience working to support a director/owner on a one-to-one basis. Due to the responsibilities, this position requires flexibility, with willingness to support occasional evening or weekend events/commitments.
Job Responsibility:
Act as a central point of contact between the CEO, internal teams, external stakeholders, contractors and professional contacts
Fully manage the CEO's busy diary including meetings, appointments, events, reminders and follow-ups
Where required, review of email inbox to screen out unwanted emails and respond to simple requests and requirements
Take messages, filter calls and manage communication professionally and confidently
Provide day-to-day personal and business support with complete discretion
Organise travel and logistics arrangements and prepare itineraries
Schedule meetings and teleconferences as required, booking rooms as appropriate including associated requirements
Preparation of expenses for approval and management of invoices
Help manage competing priorities and changing deadlines
Anticipate what is needed before being asked
Keep the CEO informed, prepared and on track
Requirements:
At least 2 years of experience working to support a director/owner on a one-to-one basis
Strong organisational skills, professionalism, discretion, and the ability to manage multiple priorities with efficiency and confidentiality
Flexibility, with willingness to support occasional evening or weekend events/commitments
