The Executive Officer provides comprehensive executive support to the Deputy Vice-Chancellor, Health (DVCH) and other senior leaders within the Health Office. Operating in a dynamic and high-pressure environment, the role manages a complex workload with a high degree of autonomy while ensuring the DVCH’s commitments remain well coordinated. Serving as a central liaison between the DVCH, Health academic units, and broader University portfolios, the position ensures alignment between strategic intent and operational delivery.
Job Responsibility:
Act as the primary point of contact for the Deputy Vice-Chancellor, Health (DVCH), assessing and prioritising requests including sensitive and confidential matters
Manage complex scheduling including diary coordination
Ensure the DVCH is prepared for all engagements and commitments through strategic scheduling and supporting briefing preparation
Oversee the flow of communication and documentation on behalf of the DVCH, including drafting high-quality correspondence, briefings, and meeting documentation
Coordinate and continually improve administrative processes and systems within the Health Office including academic promotions, probations, and honorary titles
Participate in regular coordination meetings, contribute to annual planning cycles, escalate complex matters appropriately, and support integrated stakeholder management activities
Requirements:
Experience in a senior executive support role, preferably within a higher education or complex organisational environment
Demonstrated ability to manage sensitive information with discretion and maintain strict confidentiality
Exceptional written and verbal communication skills, with the ability to communicate with impact and tailor messaging for diverse audiences
Demonstrated experience supporting governance processes and working within regulatory and compliance frameworks
Proven ability to work autonomously and manage multiple complex projects and competing priorities in a dynamic environment
Advanced proficiency in Microsoft Office Suite and digital collaboration platforms (e.g. Microsoft Teams)
Experience using enterprise systems such as HR, finance, procurement, and workflow tools
