EXECUTIVE OFFICER - MICD, MINOR CAPITAL DEVELOPMENT, EANI Location: Belfast (BT1 2NQ) Pay: £16.53 per hour Hours: Monday to Friday, office hours, usually 9:00am - 5:00pm (36 hours per week). Some flexibility may be required to meet business needs. Contract: Temporary assignment until December 2026, with the possibility of extension subject to business requirements. Working Pattern: The successful candidate will be required to work full-time from their local office (5 days per week) until training has been successfully completed. Following this period, a hybrid working arrangement will apply, allowing up to 2 days working from home and 3 days working from the office each week. THE ROLE We're currently recruiting for an Executive Officer to join the Education Authority's Minor Capital Development Team in Belfast. This is an excellent opportunity for an experienced and organised individual to contribute to projects that help ensure educational buildings and facilities are safe, compliant, and ready to support special education provision. The successful candidate will work closely with internal teams, contractors, schools, and stakeholders to support the delivery of construction and maintenance activities across the estate.
Job Responsibility
Support the Minor Capital Development Team in the planning, coordination, and administration of building and maintenance projects
Assist in ensuring educational facilities are appropriately maintained and prepared to meet special education requirements
Use existing Excel templates and spreadsheets to analyse, verify, and monitor project information, costs, and progress, ensuring accuracy and resolving any discrepancies
Liaise with schools, contractors, suppliers, and key stakeholders to support project delivery and maintain effective working relationships
Attend and participate in meetings, taking notes and following up on actions as required
Maintain accurate records, databases, spreadsheets, and electronic filing systems
Prepare reports, correspondence, minutes, and other documentation to support the team
Monitor and track project-related information, ensuring deadlines and reporting requirements are met
Provide general administrative support across all aspects of the section's work
Deliver a professional customer service experience via telephone, email, and direct contact with stakeholders
Requirements
Three years of employment references
Previous experience in an administrative, project support, construction, maintenance, estates, or similar environment
Strong organisational skills with the ability to manage multiple priorities effectively
Excellent attention to detail and accuracy
Strong written and verbal communication skills
A proactive, flexible, and reliable approach to work
Confidence in dealing with a range of stakeholders and maintaining professional relationships
Excellent IT skills, including a strong working knowledge of Microsoft Office applications
Advanced or strong intermediate Microsoft Excel skills
Experience working with spreadsheets, data analysis, reporting, and tracking information using Excel
Ability to identify anomalies, investigate issues, and maintain accurate records
