Job Description

Beacon Hill Legal is seeking an experienced Executive Legal Secretary to join a full-service commercial law firm in Austin. As the Executive Legal Secretary, you will support attorneys in both transactional and litigation practices. You will play a central role in ensuring smooth day‑to‑day operations, managing high‑volume document production, coordinating filings, and serving as a reliable point of contact for attorneys and clients.

Job Responsibility

  • Prepare and proofread legal documents and filings
  • Coordinate state and federal court e‑filings and manage case deadlines
  • Organize binders, exhibits, meetings, and hearings
  • Manage attorney calendars, meetings, travel, and expenses
  • Assist with billing, time entry, and invoice processing
  • Provide professional client service and handle communications
  • Maintain electronic files and manage incoming/outgoing mail
  • Conduct online research as needed
  • Provide backup support to other assistants

Requirements

  • Bachelor's degree preferred
  • 3+ years' experience in both transactional and litigation administrative support within a law firm (mid‑to‑large firm experience preferred)
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
  • Experience with legal document management, timekeeping, billing, and expense platforms
  • Strong working knowledge of state and federal e‑filing procedures
  • Advanced document production skills, including styles, sections, redlining, tables, TOCs/TOAs
  • Strong attention to detail, ability to manage multiple priorities in a fast‑paced environment, and excellent communication and teamwork skills
  • Willingness to work overtime when needed
