Job Responsibility:
Manage a high-volume executive inbox, prioritizing urgent correspondence and flagging critical litigation deadlines
Provide comprehensive executive support, including complex calendar management and travel coordination for senior lawyers
Draft, proofread, and edit legal documents and correspondence with a high degree of accuracy and attention to detail
Oversee the full lifecycle of litigation files, ensuring all documents are correctly filed within the IManage system
Act as a project coordinator for long-term legal projects, ensuring milestones are met and stakeholders are kept informed
Coordinate daily schedules and prepare briefing materials for meetings, hearings, and client consultations
Foster strong professional relationships with clients, opposing counsel, and internal teams to ensure smooth communication
Maintain organized digital and physical filing systems, adhering to strict confidentiality and data management protocols
Assist with the preparation of court filings and specialized litigation documentation as required
Support the broader business administration team during peak periods or team-building initiatives
Requirements:
Minimum of 3–5 years of experience as a Legal Assistant or Executive Assistant within a law firm
Previous experience in litigation is highly preferred
Proven track record of longevity and stability in previous professional roles
Demonstrated experience managing high-volume workloads and complex administrative tasks
Post-secondary education in Legal Office Administration, business administration, or a related field
Ability to work in-office as required per the team's rotating schedule
Nice to have:
Knowledge of indigenous studies or reconciliation awareness is considered a significant asset
