Job Responsibility:

  • Manage a high-volume executive inbox, prioritizing urgent correspondence and flagging critical litigation deadlines
  • Provide comprehensive executive support, including complex calendar management and travel coordination for senior lawyers
  • Draft, proofread, and edit legal documents and correspondence with a high degree of accuracy and attention to detail
  • Oversee the full lifecycle of litigation files, ensuring all documents are correctly filed within the IManage system
  • Act as a project coordinator for long-term legal projects, ensuring milestones are met and stakeholders are kept informed
  • Coordinate daily schedules and prepare briefing materials for meetings, hearings, and client consultations
  • Foster strong professional relationships with clients, opposing counsel, and internal teams to ensure smooth communication
  • Maintain organized digital and physical filing systems, adhering to strict confidentiality and data management protocols
  • Assist with the preparation of court filings and specialized litigation documentation as required
  • Support the broader business administration team during peak periods or team-building initiatives

Requirements:

  • Minimum of 3–5 years of experience as a Legal Assistant or Executive Assistant within a law firm
  • Previous experience in litigation is highly preferred
  • Proven track record of longevity and stability in previous professional roles
  • Demonstrated experience managing high-volume workloads and complex administrative tasks
  • Post-secondary education in Legal Office Administration, business administration, or a related field
  • Ability to work in-office as required per the team's rotating schedule

Nice to have:

Knowledge of indigenous studies or reconciliation awareness is considered a significant asset
