Job Description

Project Expedite Justice (PEJ), founded in 2016, is a United States-based NGO with a 501(c)(3) charitable organization designation. PEJ's mission is to use all available legal options to seek justice for individuals inadequately protected under the law, who cannot access legal resources, and who are exploited by governments, corporations, or others. PEJ is seeking a proactive, highly capable Executive Officer/Coordinator to provide high-level support to the Executive Director.

Job Responsibility

  • Manage calendars, schedule meetings, and coordinate appointments for the Executive Director
  • Handle correspondence on behalf of the Executive Director
  • Prepare materials, briefs, and talking points for meetings and engagements
  • Collaborate with the missions officer to prepare travel arrangements and logistics
  • Attend meetings, take notes, and track follow-up actions
  • Track tasks, deadlines, and deliverables across teams
  • Follow up on action items and delegated responsibilities
  • Assist in organizing workflows and improving administrative systems
  • Support the preparation of reports, presentations, and internal documents
  • Assist with organizing project activities and deliverables
  • Maintain organized filing and documentation systems
  • Ensure consistency and quality in outputs and communications
  • Provide administrative and coordination support for Board-related activities
  • Support timely distribution and organization of Board documents
  • Participate in relevant team meetings and reporting coordination calls

Requirements

  • Experience as an executive assistant, coordinator, or similar role
  • Preference for candidates with legal or paralegal office experience
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Ability to work independently and manage competing priorities
  • High level of discretion and professionalism
  • Experience in nonprofit, legal, or international organizations is an asset
  • Based in Hawaii (preferably Kona) or able to work in the Hawai’i time zone
