As an Executive Business Administrator, you will support the Microsoft Quantum executive office with high-level administrative responsibilities. You thrive in a fast-paced environment, have strong attention to detail and can embrace challenges with high energy and a positive attitude. Demonstrate ability to multi-task and be able to pivot in rapid response to a fluctuating work environment and make timely decisions. Have excellent communication and interpersonal skills, exercise sound judgment, tact, diplomacy, integrity and professionalism. Possess an aptitude to work independently and be comfortable operating with ambiguity. Exemplify solid problem-solving and project-management skills. Anticipate and remove administrative roadblocks.

Job Responsibility

  • Support the Corporate Vice President of Microsoft Quantum with high level tasks and requests
  • Provide strategic calendar management and travel management
  • Ensure compliance of administrative operational policies and procedures
  • Lead by example and serve as a role model to Business Support colleagues
  • Navigate with executive maturity and calmness in challenging situations
  • Use executive maturity to escalate issues, proactively ensuring teams effectiveness and consistency
  • Engage with the Business Support community, keeping a pulse to enable growth across the discipline
  • Undertake special assignments and projects as needed

Requirements

  • 7+ years of administrative, business support, or customer service experience supporting executive/upper-level leaders, with an emphasis on complex scheduling, event/meeting coordination, travel, and administrative operations
  • OR equivalent industry experience (e.g., demonstrated experience working in project, program or production management)
  • Ability to meet Microsoft, customer and/or government security screening requirements are required for this role, including Microsoft Cloud Background Check and Citizenship & Citizenship Verification
  • Ability to leverage AI tools to drive innovation and efficiency
  • Ability to work in an AI-first environment using modern AI tools to accelerate design workflows

Nice to have

  • 4+ years experience serving as a mentor or direct/indirect (e.g., team leader) supervisor to others
  • 5+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training)
