Job Description

The EBC Logistics & Operations Specialist is the engine that ensures every executive briefing runs flawlessly from a logistical perspective. This hands-on role manages all operational aspects of the EBC, creating an exceptional, seamless, and professional environment for our executive guests and internal teams.

Job Responsibility

  • Handle all event logistics including venue bookings, catering orders, transportation coordination (if needed), dinner reservations, and ensuring the smooth flow of the briefing schedule
  • Manage all aspects of the physical EBC space, including room setup, A/V coordination, and ensuring a pristine environment for all sessions
  • Own the EBC calendar, managing holds, invitations, confirmations, and communication with internal and external attendees regarding scheduling details
  • Manage all internal speaker coordination, including scheduling preparatory calls, confirming attendance, communicating logistical details, and ensuring all presentation materials (slides, demos, collateral) are finalized and available for the briefing
  • Curate and manage the inventory of executive-level amenities and swag, ensuring a high-quality, professional guest experience
  • Assist the Head of EBC with tracking and reconciling all logistical expenses and overall budget
  • Coordinate Executive Briefing Center activities globally, managing operations and stakeholders remotely

Requirements

  • 3+ years of experience in executive-level event coordination, meeting planning, or event production
  • Proven ability to manage multiple complex logistical tasks simultaneously under tight deadlines
  • Exceptional organizational skills, a proactive, solutions-oriented attitude, and a strong sense of ownership
  • High proficiency in scheduling and communication tools (e.g. Google Suite)
  • Agility and grace under pressure when managing last-minute changes or unexpected challenges

  • Working with the Driver Recruiting Team to ensure that the Company is provided with high quality and quantity of Drivers and Owner Operators including: Execute sourcing and recruitment strategies through calling, networking, and direct recruiting efforts
