We are looking for a dedicated and detail-oriented Executive Assistant to provide comprehensive administrative support to C-Suite executives. In this contract-to-hire role, you will play a vital part in ensuring the smooth operation of executive functions, managing schedules, overseeing travel arrangements, and supporting departmental initiatives. This position is based in Morgantown, Pennsylvania, and offers an opportunity to collaborate closely with senior leadership and contribute to the success of the organization.
Job Responsibility:
Manage and coordinate the executive's calendar, including scheduling meetings, appointments, and events
Arrange domestic and international travel logistics, including booking flights, accommodations, and managing visa and passport requirements
Prepare and process expense reports, invoices, and budget-related documentation with accuracy
Create and maintain reports, presentations, and departmental briefs to support executive decision-making
Organize and facilitate meetings, including preparing materials, recording minutes, and tracking action items
Oversee departmental records, ensuring all administrative information is organized and accessible
Assist in the development and distribution of policies, templates, and guidance documents for the department
Coordinate and support hiring initiatives, including resume tracking, interview scheduling, and candidate communication
Plan and execute larger meetings and events, including catering arrangements and logistics
Collaborate with cross-functional teams and external stakeholders to maintain effective working relationships
Requirements:
At least 5-8 years of experience as an Administrative or Executive Assistant in a corporate environment
Previous experience supporting C-Suite executives is highly desirable
High school diploma required
a bachelor’s degree in business administration or a related field is preferred
Strong skills in calendar management, travel coordination, and expense reporting
Proficiency in creating reports, presentations, and managing time-sensitive tasks
Exceptional organizational skills and attention to detail
Ability to handle confidential information with discretion and professionalism
Proven ability to work collaboratively across teams and departments
