We are looking for an Executive Assistant to serve as a strategic partner in a fast-paced, AI-enabled executive environment supporting senior leadership in New Jersey. This contract opportunity with potential for a permanent role is suited for someone who can turn complex, high-volume inputs into clear priorities, effective communications, and well-orchestrated execution. The role goes beyond traditional administrative support by emphasizing proactive planning, workflow design, and the use of AI tools to improve speed, accuracy, and decision readiness.
Job Responsibility
Manage the executive calendar as a strategic planning tool, aligning meetings, priorities, and time blocks to support high-value business objectives
Coordinate travel plans from start to finish, including itineraries, logistics, scheduling buffers, and meeting arrangements to ensure smooth executive movement
Oversee incoming communications across multiple channels, organize urgent items, draft responses, and route matters to the right stakeholders for timely follow-through
Prepare concise summaries, briefing materials, and action-oriented updates so leadership can review issues quickly and make informed decisions
Track commitments, deadlines, and next steps across meetings and projects, ensuring open items are monitored through completion
Improve day-to-day executive operations by building and refining AI-supported processes that streamline intake, prioritization, drafting, and task closure
Partner with internal teams and external contacts to coordinate meetings, conference participation, introductions, and related executive engagements
Support operational consistency by helping develop procedures, organizing complex activities, and assisting with cross-functional coordination as business needs evolve
Requirements
Proven experience supporting senior executives in a high-demand environment with strong ownership of scheduling, communications, and follow-up
Demonstrated ability to manage complex calendar activity and executive meetings with careful attention to timing, priorities, and logistics
Hands-on experience arranging business travel, including transportation, accommodations, itineraries, and schedule coordination
Strong written and verbal communication skills with the ability to produce clear summaries, effective correspondence, and accurate documentation
Comfort using AI and digital productivity tools to improve workflow efficiency, organize information, and reduce manual administrative effort
Excellent judgment, discretion, and problem-solving ability when handling sensitive information and shifting business priorities
Ability to work independently, stay ahead of executive needs, and coordinate effectively across multiple stakeholders and workstreams
