We are looking for an experienced Executive Assistant to join our dynamic team in New York, New York. This role offers a long-term contract opportunity to provide high-level administrative support to two Managing Directors in the fast-paced investment banking industry. The ideal candidate will excel in organization, communication, and adaptability, thriving in a hybrid work environment with a blend of onsite and remote responsibilities.
Job Responsibility:
Manage complex and high-volume calendars for two Managing Directors, ensuring seamless scheduling and prioritization
Coordinate and book domestic and international travel arrangements, including transportation and accommodations
Prepare, process, and track expense reports with accuracy and attention to detail
Create, edit, and refine PowerPoint presentations tailored for executive-level meetings
Provide comprehensive support in a demanding investment banking environment, demonstrating familiarity with industry-specific terminology
Adapt to a paperless office setup and quickly learn and navigate digital systems and technologies
Uphold high levels of discretion and professionalism when handling sensitive information
Collaborate with executives and team members to ensure efficient day-to-day operations
Participate in fingerprinting and onboarding processes as required for compliance
Assist in cross-training to ensure a smooth transition during leave coverage
Requirements:
Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint
A minimum of 5 years of experience as an Executive Assistant, ideally within investment banking or detail-oriented services
Strong digital and organizational skills, with the ability to work effectively in a paperless and tech-driven environment
Exceptional communication skills and attention to detail, with a focus on discretion and adaptability
Familiarity with coordinating travel arrangements and managing executive-level meetings
Immediate availability to begin cross-training and transition into the role
Proven ability to thrive under pressure in a fast-paced, high-stakes environment
Experience supporting senior executives and managing multiple priorities effectively
