Merrick is actively seeking an experienced Executive Assistant (EA) to support our Executive Team. This position is based at our Richmond, VA office. Annual salary range for this position is $75,000 - $100,000. Base pay offered may vary depending on job-related knowledge, skills, and experience.
Job Responsibility:
Manage a complex calendar, including scheduling meetings, booking travel, and coordinating reservations
Organize logistics for meetings and events, catering, and room setup
Support major business meetings such as monthly and quarterly update meetings
Review and prioritize electronic mail, messages, and draft professional correspondence
Plan and execute large-scale events (e.g., domestic and international roundtables, quarterly business retreats), including vendor coordination and guest management
Manage shipping and mailing needs
Prepare meeting materials such as agendas, presentations, name tags, and printed documents
Submit expense reports and process invoices for business-related payments
Maintain organized electronic filing systems
Assist other departments and leaders with special projects and conference support as needed
Support project managers with client correspondence and other project administration
Support business development personnel with marketing material management and organization
Requirements:
Minimum 5 years of experience supporting executives
Minimum 3 years of experience with Microsoft Office Suite including Microsoft Teams
Proven experience planning and managing corporate events for large organizations
Strong written and verbal communication skills
Exceptional attention to detail and organizational skills
Excellent time management and multitasking abilities
Adaptable self-starter with emotional intelligence and strong problem-solving skills
Ability to build relationships across departments demonstrating alignment with company values
Demonstrated ability to handle confidential information with discretion and professionalism
Must reside within 30 miles of Richmond, VA
Must be authorized to work in the U.S. without sponsorship
High school diploma or GED required
Nice to have:
Proven ability to exercise sound judgment and proactively anticipate the needs of executive leadership
Prior experience supervising staff or managing administrative teams
Ability to learn project management software, such as Newforma and/or SpecsIntact
