Job Description

We are looking for a highly skilled Executive Assistant to provide comprehensive support to one of our senior executives in a mission-driven nonprofit environment. This contract position is based in Washington, District of Columbia, and requires an individual who excels in organization, communication, and prioritization. The ideal candidate will demonstrate exceptional discretion, attention to detail, and the ability to work independently while managing multiple priorities.

Job Responsibility

  • Manage complex calendars, schedule executive meetings, and coordinate priorities to ensure alignment with organizational goals
  • Arrange and oversee travel logistics, including booking flights and accommodations, while ensuring seamless travel experiences
  • Coordinate cross-functional projects, track deliverables, and prepare materials for board meetings and donor presentations
  • Draft high-quality executive correspondence, briefing documents, and presentations to support leadership initiatives
  • Maintain and update records in systems such as Microsoft 365 and Salesforce, ensuring accuracy and confidentiality
  • Handle expense reporting, manage financial processes, and oversee operational tasks with utmost discretion
  • Collaborate with stakeholders to ensure follow-through on key projects and initiatives
  • Provide advanced administrative support by triaging incoming requests and protecting executive time
  • Prepare reports and presentations using project management tools like Jira to track progress and ensure deadlines are met
  • Support organizational goals by prioritizing tasks and adapting to a fast-paced environment

Requirements

  • Minimum of 6–8 years of experience providing executive support at a senior level, preferably in nonprofit or fundraising environments
  • Proven ability to manage complex schedules, travel arrangements, and competing priorities
  • Expertise in preparing high-quality materials, including correspondence, presentations, and briefing documents
  • Advanced proficiency in Microsoft 365
  • experience with Salesforce and project management tools such as Jira is preferred
  • Strong judgment and ability to operate independently with minimal supervision
  • Exceptional written and verbal communication skills, ensuring clarity in all interactions
  • Experience managing expense reports and handling sensitive financial or operational processes
  • Detail-oriented mindset with the ability to adapt to a dynamic and mission-driven work environment
