Job Description:

We are looking for a dedicated and detail-oriented Executive Assistant to provide exceptional administrative and operational support to our leadership team. This role focuses on ensuring smooth day-to-day operations, enabling leadership to concentrate on strategic goals and initiatives. The position requires strong organizational skills and the ability to manage multiple tasks efficiently. While this role doesn't require out-of-town travel, some after-hours and weekend work may be required depending on the CEO's travel schedule.

Job Responsibility:

  • Serve as the primary point of contact between leadership and clients, vendors, and employees, handling inquiries, relaying messages, and escalating concerns as needed
  • coordinate and maintain schedules, appointments, and correspondence on behalf of the leadership team
  • perform a variety of administrative tasks, including managing both business and personal matters for senior management
  • organize and oversee travel arrangements, including booking flights, accommodations, and managing logistics for tradeshows and client visits
  • collaborate with internal departments to provide information on clients, vendors, products, and deliveries as required
  • assist in sourcing and acquiring new inventory, ensuring alignment with company needs and goals
  • participate in online auctions and manage related activities to support inventory procurement
  • prepare sales reports and analysis to aid in decision-making and strategic planning
  • support outbound sales initiatives to enhance client relationships and drive revenue growth.

Requirements:

  • Minimum of 10 years of experience with good tenure as and Executive Assistant to the C-Suite or VPs
  • proficient in outbound sales strategies and techniques
  • strong analytical skills with experience in managing multiple deadlines and time sensitive needs
  • demonstrated ability to manage travel arrangements, including booking and scheduling
  • exceptional organizational and time management skills
  • ability to communicate effectively and professionally with clients, vendors, and team members
  • familiarity with online auction platforms and inventory sourcing
  • proficiency in administrative tools and software.
