Our real estate client is seeking an experienced Executive Assistant to support the Head of the Team, two Managing Directors, and provide light support to several additional team members. This role requires exceptional organizational skills, a strong sense of urgency, great communication skills, and the ability to manage a high volume of work in a fast-paced, deadline-driven environment.
Job Responsibility:
Manage complex calendars and meeting schedules, including large group and recurring meetings
Develop a strong understanding of business priorities to proactively manage scheduling and anticipate needs
Arrange domestic and international travel arrangements including all hotels, ground transporatoin, cars, etc.
Prepare and submit monthly expense reports using Concur, ensuring accuracy and timely follow-up
Make meeting, dining, and event reservations as needed
Partner closely with other Executive Assistants to provide coverage and ensure seamless team support
Proactively track deadlines and deliverables, keeping the team informed on status and completion of work
Assist with research, special projects, and ad hoc assignments as required
Coordinate execution, notarization, and delivery of a large volume of documents, often under tight, transaction-related deadlines
Requirements:
7+ years of experience supporting senior executives in a fast-paced environment
finance and/or real estate experience preferred
Demonstrated ability to manage a high volume of work while maintaining accuracy and attention to detail
Strong sense of urgency with excellent time management and prioritization skills
Ability to multitask and remain calm under pressure while meeting critical deadlines
Clear, professional, and effective communicator (verbal and written)
Team-oriented mindset with a willingness to collaborate closely with other assistants
Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
Notary designation preferred
