We are looking for a highly organized and detail-oriented Executive Assistant to support senior leadership in a fast-paced executive environment. This role requires professionalism, discretion, and excellent communication and coordination skills to manage administrative tasks and contribute to organizational success. As this is a long-term contract position, the ideal candidate will thrive in handling multiple priorities while maintaining accuracy and confidentiality.
Job Responsibility:
Provide comprehensive administrative support to the Corporate Secretary, General Counsel, and other executives, including managing calendars, coordinating meetings, processing expense reports, and arranging travel plans
Assist in the preparation and distribution of board and committee materials, such as agendas, meeting minutes, reports, and follow-ups on action items
Maintain and update corporate records, policies, resolutions, and governance documentation with meticulous attention to detail and compliance with legal requirements
Coordinate and support on-site events and special projects, ensuring all logistical needs are met and tasks are completed efficiently
Evaluate and prioritize tasks proactively to anticipate consequences and broader implications, ensuring seamless execution of projects
Enhance administrative workflows by identifying opportunities for process improvements and creating or updating standard operating procedures
Utilize platforms like Laserfiche and Salesforce to manage and organize documents and data effectively
Support communications with outside counsel, board members, and executives regarding regulatory filings, annual publications, and other legal matters
Conduct research on state registrations, filing requirements, and denomination-related information as needed
Collaborate on strategic initiatives and ad hoc requests, ensuring alignment with organizational objectives
Requirements:
Proven experience in executive-level administrative support, preferably in a corporate or legal setting
Strong skills in calendar management, travel arrangements, and coordinating executive meetings
Exceptional written and verbal communication abilities with a focus on professionalism and clarity
Ability to handle confidential information with discretion and sound judgment
Proficiency in document management systems, such as Salesforce
Experience in proofreading, editing, and maintaining compliance-related documentation
Strong organizational skills with the ability to prioritize competing tasks and meet deadlines
Familiarity with legal or regulatory requirements related to corporate governance is preferred
