Dvorak Law Group is seeking a full-time Executive Assistant to join our law firm’s Omaha office. This role provides high-level administrative support to firm leadership, attorneys, and other professionals. The Executive Assistant serves as a trusted partner who can anticipate needs, manage priorities, and ensure the seamless execution of day-to-day operations. The position requires exceptional judgment, discretion, and organizational skills.
Job Responsibility:
Create, edit, and proofread correspondence, presentations, and legal/business documents
Coordinate and handle electronic filing of pleadings and other legal documents, as needed
Manage complex calendars, coordinate meetings, and schedule travel arrangements, including flights, accommodations, and itineraries
Plan and coordinate internal and external meetings, events, and firm functions, including preparing materials and logistics
Assist with client communications, including scheduling, follow-ups, and handling inquiries in a professional and timely manner
Maintain organized electronic and paper files
handle faxing, scanning, and copying
Prepare expense reports, track budgets, and assist with billing or time entry as needed
Serve as a liaison between attorneys, clients, and staff, ensuring clear and efficient communication
Research information, compile data, and prepare reports, presentations, or summaries for firm leadership
Assist with special projects, strategic initiatives, and confidential assignments as requested
Operate a variety of office machines and technology, including document management software
Comply with the Employee Handbook and other firm procedures
Requirements:
Exceptional organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines
Strong communication skills, both written and verbal, with professionalism and discretion
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management systems
Ability to anticipate needs, think critically, and offer solutions to problems
High degree of integrity, confidentiality, and ability to handle sensitive information
Confidence and professionalism in interacting with clients, firm leadership, and staff
Knowledge of legal terminology, forms, documents, and procedures preferred but not required
Flexibility, adaptability, and resourcefulness in supporting attorneys and firm executives
Strong attention to detail, with ability to review documents for accuracy and completeness
A proactive, self-directed approach to work, with a commitment to supporting the success of the firm
Must be willing to undergo a background check
