We are looking for an experienced Executive Assistant to support senior leadership within a fast-paced Marketing/PR environment in New York, New York. Job Responsibility:
Oversee complex executive calendars, resolve scheduling conflicts, and coordinate appointments across multiple stakeholders
Arrange domestic and international travel plans, including flights, hotels, ground transportation, and itinerary preparation
Manage travel logistics proactively to ensure executives are fully prepared for meetings, events, and business commitments
Prepare, review, and submit expense reports with accuracy and in alignment with company policies
Coordinate executive meetings by organizing schedules, confirming attendance, and supporting meeting logistics
Serve as a key point of coordination for time-sensitive administrative activities and changing executive priorities
Maintain clear communication with internal teams and external contacts to support seamless scheduling and travel execution.
Requirements:
5+ years of experience providing executive-level administrative support
Demonstrated expertise in managing high-volume and frequently changing calendars
Strong background in booking and coordinating detailed business travel arrangements
Experience preparing and processing executive expense reports with a high degree of accuracy
Ability to support executive meetings and handle related logistics efficiently
Excellent organizational skills with the ability to prioritize multiple responsibilities in a fast-moving environment
Strong written and verbal communication skills paired with a high level of professionalism and discretion.
