We are looking for an Executive Assistant to support leadership within a real estate property and facilities management environment in Brooklyn, New York. This Long-term Contract opportunity is ideal for someone who excels at keeping schedules organized, coordinating executive-level logistics, and ensuring day-to-day operations run smoothly. The role requires strong attention to detail, sound judgment, and the ability to manage competing priorities in a fast-paced setting.

Job Responsibility

  • Manage complex executive calendars, prioritize appointments, and resolve scheduling conflicts to keep leadership on track
  • Organize domestic and, when needed, broader travel logistics, including itinerary planning, reservations, and related coordination
  • Support meeting preparation by arranging executive sessions, confirming attendees, and ensuring materials are ready in advance
  • Serve as a central point of coordination for leadership activities, helping align schedules, communications, and administrative needs
  • Track time-sensitive commitments and follow up on outstanding items to help maintain momentum on key priorities
  • Handle a range of administrative tasks with discretion, accuracy, and a high level of professionalism

Requirements

  • Demonstrated experience supporting executives in an administrative or executive assistant capacity
  • Strong background in calendar coordination, including managing multiple priorities and schedule changes
  • Proven ability to arrange and oversee travel details with accuracy and efficiency
  • Experience coordinating executive meetings and preparing logistical support for leadership events
  • Excellent organizational skills with close attention to detail and follow-through
