Job Description

We are looking for an experienced Executive Assistant to provide high-level support in a Contract position. Based in New York, New York, this opportunity focuses on keeping executive priorities organized, ensuring meetings and travel plans run smoothly, and serving as a reliable point of coordination across internal and external contacts. The ideal candidate brings sound judgment, strong attention to detail, and the ability to manage multiple moving parts in a fast-paced environment.

Job Responsibility

  • Oversee a complex executive calendar by arranging appointments, resolving scheduling conflicts, and aligning meeting priorities with business needs
  • Create and organize meeting documentation, presentations, and background materials so leadership is well prepared for discussions and decisions
  • Manage domestic and regional travel planning, including itineraries, transportation, accommodations, and schedule adjustments as needed
  • Act as a central communication link for executives, coordinating professionally with both internal teams and external stakeholders
  • Provide day-to-day administrative support

Requirements

  • 5+ years of experience supporting executives or senior leaders in an administrative or executive assistant capacity
  • Demonstrated success managing complex calendars and coordinating high-volume scheduling demands
  • Hands-on experience arranging business travel, including domestic and regional itineraries
  • Strong ability to prepare meeting materials and maintain organized documentation for executive use
  • Excellent written and verbal communication skills with the professionalism to interact across all levels of an organization
  • Comfortable handling light office administration and basic expense reporting responsibilities
  • Proficiency with common business technology and office productivity tools
  • Strong organizational skills, attention to detail, and the ability to manage confidential information with discretion.
