We are looking for a detail-oriented Executive Assistant to provide high-level support to executives in a fast-paced environment. This long-term contract position requires strong organizational skills, initiative, and the ability to manage multiple priorities effectively. The role is based in Pittsburgh, Pennsylvania, and offers an excellent opportunity to contribute directly to the success of leadership operations.
Job Responsibility:
Manage executive calendars, scheduling appointments and ensuring timely updates
Arrange and coordinate travel plans, including booking flights, accommodations, and transportation
Prepare and organize materials for executive meetings, ensuring all details and logistics are handled
Maintain clear communication with internal and external stakeholders to support executive needs
Handle confidential information with discretion and professionalism
Monitor deadlines and follow up on key tasks to ensure timely completion
Coordinate special projects as assigned, ensuring alignment with organizational goals
Serve as a liaison for executives, addressing inquiries and resolving issues promptly
Draft and edit correspondence, reports, and presentations for executive review
Support the daily administrative operations of the executive team
Requirements:
Minimum of 2 years of experience as an Executive Assistant or in a similar role
Proficiency in calendar management and scheduling software
Strong organizational and multitasking skills, with attention to detail
Excellent communication skills, both written and verbal
Ability to handle sensitive information with a high degree of confidentiality
Experience coordinating travel arrangements, including international travel
Proficiency in office productivity tools such as Microsoft Office Suite
Capability to work independently and adapt to changing priorities
