We are looking for a highly organized and detail-oriented Executive Assistant to support key administrative functions for our team in Boston, Massachusetts. This contract position requires an individual who excels in managing schedules, coordinating meetings, and handling confidential correspondence with precision and efficiency. The ideal candidate will bring exceptional communication skills and a proactive approach to ensuring smooth day-to-day operations.
Job Responsibility:
Manage executive calendars, including scheduling meetings and prioritizing appointments
Coordinate and facilitate virtual and in-person meetings using tools like Cisco Webex Meetings
Prepare and distribute accurate and timely correspondence and documentation
Oversee timekeeping processes and ensure accurate reporting using systems such as Kronos
Handle expense reporting and approvals utilizing Concur
Assist with CRM data entry and maintenance to ensure up-to-date client information
Organize conference calls and ensure all participants have access to necessary materials
Maintain efficient workflow for administrative tasks, ensuring deadlines are consistently met
Provide direct support for financial services-related operations, including ADP processes
Act as a liaison between internal teams and external stakeholders to ensure clear communication
Requirements:
Proven experience as an executive assistant or in a similar administrative role
Proficiency in using Cisco Webex Meetings, Concur, Kronos, and CRM systems
Strong organizational skills with the ability to manage multiple tasks and deadlines
Excellent written and verbal communication abilities
Experience with calendar management and scheduling
Familiarity with financial services operations, including ADP systems
Ability to handle sensitive and confidential information with discretion
Tech-savvy with a proactive approach to learning new systems and tools
