Job Description

We are looking for a detail-oriented and organized Executive Assistant to join our organization in Madison, Wisconsin. This role requires excellent administrative skills to support the Executive Director and other staff members in their daily operations. The ideal candidate will thrive in a fast-paced environment and possess strong communication and scheduling abilities.

Job Responsibility

  • Manage and coordinate the Executive Director’s schedule, ensuring all appointments and meetings are effectively organized
  • Handle mail and email correspondence for the Executive Director, directing inquiries as needed
  • Support agency-wide communication efforts, including staff meetings and updates
  • Draft and prepare letters, memos, and other documents as requested by the Executive Director or Operations Manager
  • Arrange and oversee travel plans for the Executive Director and agency-related trips
  • Maintain and organize filing systems for reports, correspondence, and other essential records
  • Provide assistance during board meetings, including preparing minutes and related documentation
  • Answer incoming calls and ensure inquiries are routed appropriately
  • Perform additional administrative tasks as assigned to support the organization’s goals

Requirements

  • Proven experience in administrative roles, preferably as an executive assistant
  • Proficiency in managing schedules and calendars for senior staff
  • Strong organizational skills with the ability to maintain filing systems
  • Excellent verbal and written communication skills, including email correspondence
  • Ability to handle inbound calls professionally and efficiently
  • Skilled in planning and arranging travel itineraries
  • Capable of drafting high-quality letters, memos, and official documents

Nice to have

Familiarity with non-profit organizations is a plus
