The Executive Assistant is accountable for assisting in any administrative task/concerns related to the positions of the local management committee and its stakeholders. This should result in effective support taking away any operational/organisational tasks.
Job Responsibility:
Organizing and maintaining agenda up to date and arranging appointments and meetings for management committee members and their teams
Proactive follow-up of outstanding items, including proactive follow-up of emails, regular and registered mail and copyletters
Organizing meetings and ensuring that support material is available and logistical support in place, including agenda items and documented minutes, IT related setup and catering needs
Arranging travel and accommodation / follow-up execution and resolve last minute issues
Managing budgets / expense declarations
Organize access, filtering meeting request/calls, interact with persons at different levels in the organisation with respect
Coordinate IT issues with the IT team (including access rights management)
Ensure administrative support for dedicated tasks with HR, Reception, Marketing and Communications teams
