We are looking for a skilled Executive Assistant to provide comprehensive administrative support to our Site Management Team in Houston, Texas. This long-term contract position requires exceptional organizational and communication skills to effectively manage travel arrangements, meetings, and various administrative tasks. The ideal candidate will play a key role in maintaining records, coordinating events, and ensuring seamless operations.
Job Responsibility:
Arrange and oversee travel plans for the Site Management Team, including booking flights, accommodations, and transportation
Maintain and organize management files, records, and documentation for easy access and reference
Schedule and coordinate meetings, prepare confidential briefings, and manage correspondence on behalf of the management team
Provide administrative assistance to the Facilities Manager and other team members to ensure operational efficiency
Track employee hours and generate required reports for accurate record-keeping
Update training records and assist in maintaining compliance with company standards
Support the planning and execution of industry conventions, congresses, and company events, both on-site and off-site
Manage special projects and contribute to their successful completion as needed
Act as a liaison with customers and service providers to address business-related requirements
Perform other administrative duties as assigned to support the team
Requirements:
Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Access, as well as Adobe Acrobat and Photoshop
Strong organizational skills with the ability to multitask and maintain attention to detail
Excellent verbal and written communication skills to effectively interact with team members and external stakeholders
Demonstrated ability to manage calendars, coordinate travel arrangements, and handle executive meetings
Experience in dealing with customers and collaborating with service providers to fulfill business needs
Bilingual proficiency in Spanish, both written and spoken, is highly preferred
Undergraduate degree is preferred, but equivalent work experience will be considered
Minimum of 3-5 years of administrative experience, showcasing advanced PC skills and strong interpersonal abilities
