We are seeking a highly experienced, polished, and proactive Executive Assistant to provide high-level administrative and operational support to senior leadership at a well-established organization. Job Responsibility:
Provide comprehensive administrative support to senior leadership
Manage complex and frequently changing calendars, meetings, and scheduling priorities
Coordinate domestic and/or international travel arrangements and itineraries
Serve as the primary point of contact and gatekeeper for executive communications
Prepare, edit, and format presentations, reports, and executive correspondence
Organize and coordinate internal and external meetings, including agendas, materials, and follow-ups
Take meeting notes, track action items, and ensure timely follow-through
Handle confidential information with discretion and professionalism
Assist with special projects, strategic initiatives, and cross-functional coordination
Improve administrative processes and help keep the executive office running efficiently
Support day-to-day operations and help anticipate upcoming needs and priorities
Requirements:
Minimum of 3–5+ years of experience supporting C-level executives or senior leadership (CEO, President, VP, or similar)
Proven experience managing complex calendars, travel, and meeting coordination
Strong experience acting as a gatekeeper and liaison between executives and internal/external stakeholders
Exceptional organizational, time management, and prioritization skills
Excellent written and verbal communication skills
High level of professionalism, discretion, and emotional intelligence
Strong attention to detail with the ability to manage multiple deadlines simultaneously
Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
Comfortable preparing executive-level documents, reports, and presentations
Ability to work independently, problem-solve proactively, and anticipate executive needs
Experience handling sensitive and confidential information is required
