Job Description:

Robert Half is seeking a highly-skilled and resourceful Executive Assistant to provide high-level administrative support to a senior executive or leadership team within a fast-paced, dynamic organization. The ideal candidate is proactive, detail-oriented, and adept at prioritizing tasks to ensure day-to-day operations run smoothly.

Job Responsibility:

  • Manage the executive’s calendar, schedule meetings, and coordinate travel arrangements, both domestic and international
  • Prepare, edit, and organize professional correspondence, reports, presentations, and other communications
  • Serve as a gatekeeper, handling incoming calls, emails, and meeting requests for the executive
  • Plan and coordinate events, conferences, and other leadership engagements, ensuring a seamless experience
  • Handle confidential and time-sensitive information with discretion and professionalism
  • Conduct research and compile data to support executive decision-making and project planning
  • Liaise between internal departments and external stakeholders on behalf of the executive
  • Oversee special projects, ensuring timely completion and adherence to organizational goals
  • Provide mentoring or guidance to junior administrative staff, as necessary

Requirements:

  • 5+ years of experience as an administrative or executive assistant supporting senior management
  • Bachelor’s degree in Business Administration, Communications, or a related field preferred
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with productivity tools like Zoom, Slack, or project management platforms (e.g., Trello, Asana)
  • Exceptional verbal and written communication skills, including professional correspondence and interpersonal interactions
  • Outstanding time management abilities with a proven track record of successfully managing complex schedules and prioritizing tasks
  • Strategic thinker who can troubleshoot issues and handle situations independently

Nice to have:

  • Certified Administrative Professional (CAP) or Microsoft Office Specialist certifications
  • Experience coordinating events or managing logistics for senior-level meetings
  • Experience supporting cross-functional projects or managing workflow automation tools
