We are seeking a highly organized and proactive Executive Assistant (EA) to support senior leadership in a dynamic and fast-paced environment. The EA will manage administrative tasks, coordinate meetings, and facilitate seamless communication across departments. The ideal candidate will be detail-oriented, capable of handling multiple priorities, and have excellent communication and organizational skills.
Job Responsibility
Calendar Management: Effectively manage the executives calendar, including scheduling meetings, conference calls, and appointments
Travel Arrangements: Organize domestic and international travel plans, including flights, accommodation, and itineraries
Communication Management: Act as the first point of contact for internal and external communications, screening calls, emails, and other correspondence
Document Preparation: Prepare, edit, and review reports, presentations, and other documents for meetings and presentations
Meeting Coordination: Plan and coordinate meetings, including preparing agendas, taking minutes, and following up on action items
File and Record Maintenance: Develop and maintain an efficient documentation and filing system, ensuring confidential materials are securely stored
Project Support: Assist in managing various projects, including tracking timelines, coordinating with team members, and providing status updates
Client Relationship Management: Liaise with key stakeholders and clients on behalf of the executive, ensuring smooth communication and relationship management
Office Coordination: Collaborate with the office staff to ensure the office runs smoothly, including ordering supplies, maintaining equipment, and addressing any administrative issues
Requirements
Bachelor's degree in Business Administration or a related field
Minimum 3-5 years of experience as an Executive Assistant or in a similar role, supporting senior leadership
Excellent verbal and written communication skills
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Strong organizational and time-management skills with the ability to multitask and prioritize tasks
Ability to handle confidential information with discretion and professionalism
Proactive, self-motivated, and capable of working independently
Strong interpersonal skills and the ability to build positive relationships with stakeholders
Nice to have
Experience in coordinating travel arrangements and managing complex schedules
Familiarity with project management tools and techniques
Prior experience in managing administrative functions in a fast-paced environment
