We are seeking a professional for a contract Executive Assistant position at a construction firm in Dallas, Texas. You will provide support to multiple senior executives and this role is ideal for someone with exceptional communication and multitasking skills, particularly in the construction or contractor industry. The role requires a detail-oriented individual who can manage executive schedules, travel arrangements, and departmental tasks with precision and confidentiality.
Job Responsibility:
Provide administrative support to Corporate Services executives, ensuring seamless daily operations
Serve as a liaison between executives and internal or external stakeholders, maintaining confidentiality and a high standard of conduct
Manage complex calendars, prioritize appointments, and quickly adapt to scheduling changes
Coordinate recurring team meetings and special events, handling logistics, materials, and technology requirements
Arrange domestic and occasional international travel plans, including transportation, lodging, and itinerary adjustments
Prepare, reconcile, and submit expense reports accurately and on time, following company policies
Process invoices with appropriate coding and collaborate with Accounts Payable for timely and accurate transactions
Oversee departmental needs such as document management, supply orders, and tracking project statuses
Resolve scheduling conflicts proactively while anticipating and addressing executive needs
Assist with additional projects and administrative tasks as needed to support the team
Requirements:
Proven experience supporting senior executives, preferably in construction, engineering, or related industries
Ability to excel in a high-paced environment with shifting priorities and tight deadlines
Exceptional communication, interpersonal, and organizational skills
Proficiency in arranging corporate travel, managing expenses, and preparing invoices
Strong knowledge of Microsoft Office Suite, including Outlook, Excel, Word, and Teams
Self-driven with excellent attention to detail and the ability to work independently or collaboratively
Friendly and resourceful demeanor with the ability to represent executives and the department professionally
Demonstrated ability to anticipate needs and streamline processes for optimal efficiency
