We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to senior leadership. The ideal candidate will be a strong communicator, able to manage multiple priorities, handle sensitive information with discretion, and anticipate the needs of executives in a fast-paced environment.
Job Responsibility:
Provide high-level administrative support to C-suite executives, ensuring day-to-day operations run smoothly and efficiently
Manage complex calendars, coordinate appointments, and schedule internal and external meetings
Oversee email management, including drafting correspondence, prioritizing communications, and responding on behalf of executives as appropriate
Coordinate domestic and international travel arrangements, including itineraries, lodging, transportation, and related logistics
Prepare and process travel expenses, expense reports, and reimbursement documentation
Track budgets and assist with expense monitoring and reporting
Prepare meeting agendas, compile supporting materials, and ensure executives are well prepared in advance of meetings
Attend meetings, take accurate meeting minutes, and distribute notes and follow-up action items
Create, edit, and format reports, presentations, spreadsheets, and marketing materials with a high level of accuracy and professionalism
Maintain organized files, records, and administrative systems
Support special projects and other executive or departmental initiatives as assigned
Requirements:
Previous experience supporting senior leaders or C-suite executives in an Executive Assistant or similar high-level administrative role
Strong calendar management, travel coordination, and meeting support experience
Excellent written and verbal communication skills
Advanced organizational skills with the ability to prioritize tasks and meet deadlines
Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
Experience preparing professional reports, presentations, and business documents
Ability to handle confidential information with discretion and professionalism
Detail-oriented, adaptable, and capable of working independently in a dynamic environment
