We are looking for a detail-oriented and meticulous Executive Assistant to provide exceptional support to a Board of Trustees in Seattle, Washington. In this long-term contract role, you will manage key administrative and logistical tasks, ensuring seamless operations and fostering a positive experience for board members. This position requires a proactive and organized individual who thrives in a fast-paced environment.
Job Responsibility:
Prepare comprehensive meeting agendas and accurately document and distribute minutes for all Board sessions, including public meetings
Oversee the coordination of monthly board meetings, managing invitations, travel arrangements, and processing stipends promptly
Anticipate the needs of board members, delivering exceptional hospitality and a high standard of conduct in all interactions and event logistics
Support the planning and execution of key Board events such as retreats, annual conferences, trustee recruitment, and celebrations for outgoing members
Assist with onboarding new trustees and handle logistics for Board-related events, including graduations and public receptions
Manage and safeguard sensitive Board-related information, including confidential financial data and stipend administration
Develop, refine, and document Standard Operating Procedures (SOPs) to streamline Board administration and support
Facilitate effective communication between the Board and other stakeholders, scheduling meetings and coordinating interview logistics with prospective trustees
Requirements:
Proven experience in executive-level scheduling, meeting coordination, and event planning
Exceptional organizational skills with the ability to anticipate needs and prioritize tasks effectively
Strong written and verbal communication skills, including the ability to prepare and edit important documents
Demonstrated ability to build and maintain respectful relationships with trustees and executive stakeholders
High level of discretion and professionalism in handling confidential and sensitive information
Flexible and adaptable in a dynamic, fast-paced work environment
Proactive approach to problem-solving and creating efficient operating procedures
