Job Description

We are looking for an experienced Executive Assistant to support senior municipal leadership. This contract opportunity is ideal for a highly organized individual who can manage complex scheduling, maintain effective communication, and handle a wide range of administrative priorities with discretion. The role requires strong judgment, excellent customer service, and the ability to keep executive operations running smoothly while supporting both internal teams and community-facing interactions.

Job Responsibility

  • Oversee the City Manager's schedule and appointment planning, while providing backup calendar support for other executive leaders as needed
  • Serve as a central point of contact for phone inquiries, visitors, and departmental guests by offering courteous assistance and directing requests appropriately
  • Arrange meetings, reserve conference spaces, and coordinate scheduling needs for council members, executive staff, and recurring leadership events
  • Prepare, format, reproduce, scan, and distribute correspondence and other documents for audiences that include residents, employees, and elected officials
  • Organize travel logistics for executive leadership and complete related expense reconciliation and reimbursement documentation in a timely manner
  • Monitor incoming requests and correspondence, gather relevant information, and draft written communications to help leadership respond efficiently
  • Support agenda preparation and proofreading for City Council materials, including coordination of deliveries and related administrative follow-through
  • Review and enter payroll time for the City Manager's Office while maintaining accuracy and confidentiality
  • Assist with coordination of leadership meetings, employee events, strategic planning sessions, and behavioral health contract-related administrative oversight as assigned

Requirements

  • Proven experience providing administrative support to senior executives in a fast-paced, detail-focused environment
  • Strong ability to manage calendars, coordinate meetings, and balance shifting priorities with minimal supervision
  • Experience handling multi-line phone systems, greeting visitors, and delivering responsive customer service
  • Proficiency in arranging travel, preparing expense reports, and maintaining accurate administrative records
  • Skilled in creating, editing, and distributing business correspondence and documents
  • Ability to handle sensitive information with discretion and maintain a high level of integrity
  • Working knowledge of payroll entry, invoice processing, or related office support functions is preferred
  • Excellent written and verbal communication skills, with strong attention to detail and organization
