The Executive Assistant will provide high-level administrative support to leadership by managing complex calendars, scheduling meetings, coordinating travel, and handling confidential correspondence. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Job Responsibility:
Proactively manage complex calendars, schedule meetings, and resolve conflicts
Coordinate meetings, including room bookings, catering, and necessary preparations
Respond to inquiries via phone, email, and in-person, providing relevant information
Handle confidential information and sensitive correspondence
Schedule business travel, accommodations, and manage expense reports
Organize and attend staff meetings, document key information, and track action items
Manage team communications, including newsletters, web content, and progress reports
Track projects, process invoices, and manage vendor communications
Serve as a backup for other executive administrators when needed
Perform other duties as assigned by management
Requirements:
Minimum 3+ years of experience as an Administrative Assistant
At least 1+ years of experience as an Executive Assistant supporting multiple leaders in a corporate, matrixed, or multicultural environment
Experience managing vendors, handling invoices, and following up on deliverables
Strong initiative and ability to learn quickly
Ability to work independently and handle multiple tasks efficiently
Proficiency in SAP, Concur (for travel and expense reports), Microsoft Teams, Outlook, and MS Office applications
Strong organizational and communication skills
High attention to detail and ability to maintain confidentiality
Professionalism and ability to handle ambiguity in a dynamic environment
Minimum High School Diploma or GED required
Formal training or equivalent work experience is preferred
