The Executive Assistant is responsible for serving as the primary point of contact between the President, Discovery & Medical OpCo and key internal and external stakeholders, including executives, partners, clients, and investors. In this role, you will be accountable for results-oriented organizational proficiency and strategic administrative support, while handing the demands of a fast-paced environment.
Job Responsibility:
Provide comprehensive administrative support, including proactive calendar management, travel arrangements, expense reporting, and logistics for President and selected L1 leaders
Efficiently manage the calendar by organizing meetings, appointments, and events. Proactively resolve scheduling conflicts and ensure optimal time allocation for strategic priorities
Act as a gatekeeper and liaison, handling incoming and outgoing communications. Draft, proofread, and manage emails, letters, and other correspondence with professionalism and discretion
Prepare materials for meetings, including agendas, presentations, and briefing notes. Attend key meetings to take minutes, track action items, and ensure timely follow-up and execution. Help support communication where needed, e.g. town hall coordination
Plan and coordinate complex travel arrangements, including flights, accommodations, visas, and ground transportation. Prepare detailed itineraries and manage changes or disruptions as needed
Handle sensitive information with the utmost confidentiality. Support the President with research, data gathering, and execution of special projects, often involving cross-functional collaboration
Collaborate with other executive assistants to ensure cross-functional coordination and continuity of administrative support during absences or periods of high activity
Requirements:
Experienced administrative professional with a strong background in supporting senior executives
Exceptional organizational skills with a pro-active approach and the ability to manage competing priorities, anticipate needs, and operate effectively in a dynamic, fast-paced environment
Comfortable handling sensitive information with discretion and professionalism, especially in the context of confidential strategy discussions, talent & development conversations and M&A-related activity
Advanced proficiency with MS Office (Outlook, PowerPoint, Excel, Word), experience with collaboration tools such as Teams, and SharePoint
Knowledge of 365 Copilot and prompt engineering know-how
Strong verbal and written communication skills, with an ability to synthesize information and support the creation of professional presentations and briefing materials
Proactive, self-starter mindset with a high level of initiative, attention to detail, and follow-through
Able to build effective relationships across all levels of the organization and demonstrate cultural awareness in a global environment
