Job Description:

We are looking for a dedicated Executive Assistant to provide high-level administrative support while managing essential human resources functions. This role requires a proactive individual with strong organizational skills and a keen ability to handle sensitive information. Based in Phoenix, Arizona, this position is ideal for someone who thrives in a dynamic and fast-paced environment.

Job Responsibility:

  • Manage executive calendars, coordinate meetings, and arrange travel itineraries to ensure seamless scheduling
  • Oversee HR-related tasks, including onboarding new employees and maintaining accurate personnel records
  • Serve as a liaison between executives and internal teams, fostering clear communication and efficient workflow
  • Handle employee relations matters with professionalism and confidentiality, providing support as needed
  • Administer benefit programs, ensuring employees receive accurate information and assistance
  • Utilize HRIS systems to maintain and update employee data, ensuring compliance with company policies
  • Prepare reports, presentations, and correspondence on behalf of executives
  • Assist in planning and executing company events, meetings, and other organizational activities
  • Monitor and manage office supplies and resources to maintain an efficient work environment
  • Support special projects and initiatives as directed by leadership

Requirements:

  • Proven experience as an Executive Assistant or in a similar administrative role
  • Strong knowledge of HR practices, including employee relations and benefits administration
  • Proficiency in using HRIS systems and other office management software
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively
  • Strong written and verbal communication skills, with a high level of attention to detail
  • Ability to handle sensitive and confidential information with discretion
  • Experience with onboarding processes and maintaining personnel records
  • A proactive and adaptable approach to problem-solving in a fast-paced environment
