Job Description

We are looking for a dedicated Executive Assistant to provide high-level support to executives and board members. In this Contract to permanent position, you will play a vital role in managing schedules, organizing travel arrangements, and coordinating important events. This role requires someone who is detail-oriented, self-motivated, and capable of working independently with minimal supervision.

Job Responsibility

  • Manage and maintain executive calendars, ensuring all meetings, appointments, and deadlines are accurately scheduled
  • Organize and coordinate travel arrangements, including booking flights, accommodations, and transportation for executives and board members
  • Facilitate logistics for executive meetings, including preparing agendas, distributing materials, and ensuring all required resources are available
  • Handle event coordination for board meetings and other organizational gatherings, ensuring seamless execution
  • Prepare detailed rooming lists and itineraries for multi-day events, ensuring all arrangements are tailored to participants' needs
  • Act as a point of contact for board members, addressing inquiries and resolving scheduling or travel-related issues
  • Ensure all communications are clear, timely, and aligned with organizational standards
  • Assist with administrative tasks to support executive operations, including document preparation and expense reporting
  • Work independently while following established guidelines to ensure tasks are completed efficiently
  • Collaborate with team members to ensure the successful completion of projects and initiatives

Requirements

  • Proven experience managing executive-level calendars and schedules
  • Strong ability to organize and coordinate complex travel arrangements
  • Demonstrated expertise in planning and executing events, including board meetings
  • Exceptional interpersonal and communication skills, both written and verbal
  • Ability to work independently with minimal supervision while maintaining attention to detail
  • Proficiency in using office software and tools for scheduling and document preparation
  • Strong problem-solving skills and the ability to adapt to changing priorities
  • Prior experience supporting executives in a fast-paced environment is preferred
