Job Description

A Billion-Dollar Global Company in Midtown Manhattan is seeking a new Full-Time/Permanent Executive Assistant to support a team of extremely dynamic executives. Candidates must have a minimum of 3-5+ years of applicable, high-level executive administrative experience and a Bachelor’s degree is required. Ideal candidates should be highly motivated, proactive, extremely organized, thoughtful, efficient, and possess excellent interpersonal and communication skills, a growth mindset, and a sophisticated, mature demeanor. This is an incredibly nice team and an opportunity to join a best-in-class company! Salary depends on experience (125k-130k+ base), plus paid overtime and discretionary bonus eligibility. Excellent benefits, catered lunch, gorgeous offices, etc.! Hours: 9:00am-5:30pm, with flexibility as needed. Hybrid work schedule (In office Monday through Thursday, with the ability to work remotely on Friday).

Job Responsibility

  • Provide high-level executive administrative support to three executives
  • Schedule and reschedule extensive internal and external meetings, conference/video calls, and appointments
  • manage and maintain busy and ever-changing calendars
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
  • Coordinate complex domestic and international travel arrangements and detailed itineraries
  • Prepare, process, and submit expense reports
  • Manage correspondence and draft, type, and edit emails and correspondence throughout the day, including ad hoc support outside of business hours, as needed
  • Develop and maintain electronic filing systems
  • Assist with preparing PowerPoint presentations and other materials for review
  • Work in close partnership with other Executive Assistants throughout the office and cross-functionally

Requirements

  • Minimum 3-5+ years’ prior experience working in a fast-paced environment and supporting a dynamic executive(s)
  • Bachelor’s degree required
  • A meticulous and highly organized individual with impeccable communication skills, both written and verbal
  • Strong interpersonal skills and the ability to communicate and build relationships with internal and external staff, and business partners
  • Proactive problem solver who thinks ahead and can spot problems quickly, and resolve them or escalate accordingly with the executives
  • A “roll-up-your-sleeves” mentality and “low-ego” attitude, with the ability to work flexibly, in a fast-paced environment and as part of a collaborative team
  • Passion for the details and executive support
  • Proven track record of working independently and as part of a team
  • Able to handle multiple tasks simultaneously, with sophistication and ease
  • Demonstrates an intellectual curiosity and continuous drive to improve performance
  • Demonstrates an openness to constructive feedback and a flexibility to adjust behavior or performance as needed
  • Prior knowledge of G Suite, including Google Calendar and Google Slides preferred
  • tech savvy and familiarity with Visio and PowerPoint for basic slide creation
