Job Description:

We are looking for a skilled Executive Assistant to provide high-level administrative and operational support to senior executives in a fast-paced environment. This Contract position is based in Minnesota, and requires exceptional organizational abilities, proactive problem-solving skills, and the capability to manage multiple priorities effectively. The ideal candidate will play a pivotal role in streamlining executive workflows and fostering productive interactions across internal and external stakeholders.

Job Responsibility:

  • Manage executive calendars, coordinate schedules, and organize meetings to optimize time and ensure seamless operations
  • Arrange and oversee travel logistics, including booking flights, accommodations, and transportation, while ensuring cost-effective solutions
  • Prepare, edit, and review reports, presentations, and communications to ensure accuracy and alignment with organizational objectives
  • Serve as a liaison between executives and internal teams, facilitating collaboration and supporting key projects and initiatives
  • Maintain company records and information systems with precision, ensuring compliance with policies and procedures
  • Analyze data and compile insights to support informed decision-making by senior leadership
  • Represent executives in meetings or events as needed, ensuring consistent messaging and timely follow-up on action items
  • Identify and implement improvements to administrative processes to enhance efficiency and effectiveness
  • Assist with expense reporting and reconciliation using tools such as Concur, ensuring timely and accurate submissions.

Requirements:

  • Proven experience in executive-level administrative support, preferably within the wholesale distribution industry
  • Proficiency in Microsoft Office Suite, including Outlook, Teams, PowerPoint, Excel and the system Concur
  • Strong skills in calendar management, travel coordination, and expense reporting
  • Ability to manage multiple priorities and meet deadlines in a dynamic environment
  • Exceptional written and verbal communication skills, with attention to detail
  • Demonstrated ability to maintain confidentiality and act with discretion
  • Familiarity with tools like Concur for expense management and reporting
  • Strong problem-solving and organizational abilities, with a proactive approach to tasks.
