Our client is seeking a highly organised and dynamic part-time Executive Assistant to support a UHNW family in Vienna, Austria. This part-time, hybrid position, working 30 hours per week, requires acting as a trusted right hand to the leadership team whilst balancing executive-level support, office administration and management responsibilities. The successful candidate will play a pivotal role in ensuring daily operations run seamlessly, while also supporting strategic initiatives and enabling future growth.
Job Responsibility:
Provide high-level administrative and executive support, with direct communication and close liaison with the Principal
Oversee daily operations across household and office functions
Coordinate all travel arrangements, including jet brokering, transfers, VIP services, and hotel bookings
Oversee house maintenance and day-to-day operational requirements of the residence(s)
Line manage household staff to ensure seamless coordination
Set up and manage the office, overseeing office management duties and processes
Manage, review, and process bookkeeping activities, including invoices, bills, payments, reconciliations, and expense claims, liaising with accountants and family office staff
Prepare correspondence, reports, briefing notes, and other documentation as required
Act as the first point of contact for internal and external stakeholders, exercising discretion and professionalism
Run errands and handle ad hoc tasks
Uphold strict confidentiality when handling sensitive personal and professional information
Requirements:
A minimum 2 years’ experience in a similar Executive Assistant/Office Manager position (UHNW or senior-level experience preferred)
A fluency in both German and English (spoken and written)
Strong organisational and time-management skills with excellent attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn new digital tools quickly
Solid numerical and analytical skills
comfortable with budgets, reports, and expense management
Excellent communication and interpersonal skills, able to liaise effectively at all levels
Ability to work independently, problem-solve, and take initiative with sound judgement
High level of discretion and integrity in handling confidential matters
