Job Description

Our client is seeking an experienced Executive Assistant to support the Consumer group within a large, collaborative financial services organization. This is an add‑to‑staff role created to relieve an overextended EA and provide dedicated coverage to a growing team. The environment is professional but approachable, with strong emphasis on teamwork, flexibility, and a “no job too big or too small” mentality. Hours are generally 8:30am-5:30pm with flexibility as needed, and the role follows a hybrid schedule with four days onsite.

Job Responsibility

  • Provide executive‑level administrative support to a group of approximately 10 professionals, including Managing Directors, Directors, Vice Presidents, Associates, and Analysts
  • Manage high‑volume calendar scheduling across multiple stakeholders and priorities
  • Coordinate domestic and international travel, including itineraries and real‑time changes
  • Assist with interview coordination and onboarding logistics for new hires
  • Support internal meeting logistics, preparation, and follow‑up
  • Serve as a reliable point of contact for team members and internal partners
  • Partner closely with another EA on the team to ensure seamless coverage and communication
  • Handle ad hoc administrative tasks with a proactive, team‑first mindset

Requirements

  • 5+ years of Executive Assistant experience
  • Background in financial services or similarly structured professional environments preferred
  • Strong calendar and travel coordination experience
  • Highly organized with excellent attention to detail
  • Positive attitude with a willingness to jump in and support wherever needed
  • Comfortable working with senior leaders and a range of personalities
  • Strong written and verbal communication skills
  • Bachelor’s degree preferred
