We are looking for a detail-oriented Executive Assistant to provide comprehensive support to multiple executives in a fast-paced services environment. This is a long-term contract position based in Dallas, Texas, offering an opportunity to work independently while contributing to the success of the organization. The ideal candidate will excel at managing tasks, handling communications, and maintaining composure under pressure.
Job Responsibility:
Provide high-level administrative support to multiple executives, ensuring their schedules and priorities are effectively managed
Prepare and draft clear and effective correspondence and communications tailored to various stakeholders
Coordinate meetings, appointments, and travel arrangements while managing expense reports using tools like Chrome River
Utilize Microsoft Office applications such as Word, Excel (including Pivot Tables), Outlook, and PowerPoint to create well-crafted documents and presentations
Handle inbound calls and respond to inquiries with courtesy and efficiency
Perform accurate data entry and maintain organized records to support executive operations
Manage multiple tasks simultaneously in a high-pressure environment while maintaining attention to detail
Build strong relationships through effective communication and interpersonal skills
Uphold a respectful demeanor and confidentiality in all interactions
Adapt to new systems and processes as required for seamless workflow
Requirements:
Minimum of 3-5 years of administrative experience supporting multiple executives, ideally in a detail-oriented services setting
Proven ability to work autonomously with minimal supervision
Exceptional communication and interpersonal skills to interact effectively with diverse teams
Strong writing skills with the ability to draft clear and concise communications
Proficiency in Microsoft Office applications, including advanced knowledge of Excel and PowerPoint
Ability to prioritize and multitask in a fast-paced, high-pressure environment
Detail-oriented demeanor with a commitment to maintaining confidentiality
Authorization to work in the United States on a permanent basis
