Executive Assistant – Private Equity – Boston, MA. We are seeking candidates for an Executive Assistant position at a leading investment firm located in Boston, MA. The Executive Assistant will provide high-level administrative support to members of the C-Suite, manage complex calendar management, coordinate travel arrangements, and prepare meeting materials. The ideal candidate will have 2-3+ years of administrative experience in an investment management or professional services environment and excel in a fast-paced, high-expectation setting. This is a permanent position that will pay a base salary of $75,000 – 85,000 (depending on experience). This position is required to be onsite 4 days per week in their Boston office.
Job Responsibility:
Provide executive-level support to senior leadership and investment professionals, ensuring seamless day-to-day operations
Manage complex calendars, including scheduling internal/external meetings, calls, and video conferences across multiple time zones
Coordinate domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries
Process expense reports ensuring accuracy and compliance with firm policies
Serve as the liaison between executives and internal/external stakeholders with professionalism and discretion
Proactively manage meeting preparation, follow-up, and supporting documentation
Handle confidential information with a high degree of integrity and discretion
Support other team administrative needs, including document formatting, database updates, and occasional event coordination
Requirements:
Bachelor’s degree in Administration or related field required
2-4+ years of experience as an Executive Assistant, with prior investment management or professional services industry experience is preferred
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Outlook, and travel/expense platforms such as Concur
Strong communication skills, both written and verbal
Highly organized with exceptional attention to detail and the ability to prioritize multiple tasks
Discreet and trustworthy with experience handling sensitive and confidential information
Flexible and adaptable, and willingness to be responsive outside of standard working hours
