We are looking for a highly organized and proactive Executive Assistant to provide exceptional administrative support to executive leadership within government operations. This contract position is based in Jupiter, Florida, and involves working closely with leaders such as the Town Manager, Police Chief, Fire Chief, and other designated officials to ensure smooth day-to-day operations. The ideal candidate will serve as a trusted liaison, handle complex tasks with professionalism, and contribute to the efficient functioning of the organization.
Job Responsibility:
Provide high-level administrative assistance to executive leaders, including managing schedules, correspondence, and meeting agendas
Coordinate travel arrangements, including booking transportation and accommodations for executives
Organize and facilitate executive meetings, ensuring all necessary materials and logistics are prepared
Act as a liaison between executive leadership and various departments, community organizations, and the public
Supervise and manage assigned staff, promoting a collaborative and productive work environment
Monitor and streamline office workflows, ensuring documentation and processes adhere to established protocols
Prepare reports, presentations, and other materials, ensuring accuracy and attention to detail
Address urgent requests and follow up on pending matters to ensure timely resolutions
Maintain confidentiality and professionalism when handling sensitive information
Support interdepartmental communication and collaboration to enhance organizational effectiveness
Requirements:
Proven experience in an executive assistant or similar administrative role
Strong proficiency in calendar management and scheduling
Ability to coordinate detailed travel arrangements, including booking and itinerary planning
Exceptional organizational skills with the ability to prioritize tasks effectively
Excellent communication and interpersonal skills
Proficiency in office software and tools, including word processing and spreadsheet applications
High level of discretion and professionalism when handling sensitive information
Nice to have:
Experience supervising staff or leading teams is a plus
