We are looking for an Executive Assistant to support service operations in Wixom, Michigan through strong coordination, planning, and communication. This Long-term Contract position is ideal for someone who can keep travel, scheduling, and service activities organized while working closely with customers, technicians, and internal teams. The role focuses on maintaining smooth field support logistics, helping service work stay on schedule, and ensuring a consistent experience for all stakeholders.
Job Responsibility
Coordinate travel plans, lodging, rental vehicles, and related logistics for field service technicians to support installations, warranty work, and customer service visits
Work closely with project teams, shipping contacts, and transportation providers to confirm equipment arrival timelines and prepare crews for successful onsite work
Schedule technician coverage based on customer needs and service demands, ensuring technicians with the right experience are available when and where they are needed
Track service follow-up items after installations and field visits, then organize next steps so actions are completed on time and communicated clearly
Issue service-related orders and coordinate parts support promptly to help avoid delays in customer service execution
Partner effectively with subsidiaries, agents, and freelance service resources to maximize coverage and maintain a reliable support network
Help drive paid service activity by supporting efficient planning and responsive coordination for customer requests
Support adherence to field service safety expectations by reinforcing required policies and promoting safe work practices
Organize update and modification activities in a practical, efficient manner to align technician availability, customer timing, and operational priorities
Requirements
At least 2 years of experience in an administrative, service coordination, or similar support role
Strong ability to manage schedules, travel arrangements, and multiple priorities in a fast-paced environment
Demonstrated organizational skills with careful attention to detail and follow-through
Customer-focused approach with the ability to communicate professionally across teams and external contacts
Experience supporting meetings, calendars, facilities, or executive-level coordination is highly valued
Comfort working with service teams, coordinating logistics, and handling time-sensitive requests
Spanish language skills are a plus, but not required
