Job Description:
Your missions: Handle daily administrative tasks for medical MRI equipment, including appointment scheduling, document organization, and filing. Coordinate with medical staff to ensure smooth examination workflows. Manage office supplies and provide general departmental support. Participate in hospital meetings, recording minutes and compiling information. Manage the department director's calendar by screening meetings, setting priorities, and sending timely reminders. Organize (and host) meetings, events, (video) conferences, and team-building activities. Plan business travel, arrange itineraries (including visas), and process expense reimbursements. Draft letters/emails/office documents/meeting minutes/PPT presentations. Support employee onboarding/offboarding (including organizing farewell parties/anniversary celebrations). Maintain and update employee rosters in real time. Create/track purchase orders. Manage office supplies and archives. Maintain internal website content. Your profile: Bachelor's degree or above in Business Administration, Management, or related fields preferred. Minimum 5 years' experience as an administrative assistant or similar role; multinational company background preferred. Fluent English with excellent listening, speaking, reading, and writing skills. Ability to multitask, prioritize effectively, and meet deadlines in a fast-paced environment. Strong interpersonal and communication skills to interact effectively with executives, cross-functional teams, and stakeholders. Proficient in Microsoft Office; experience with calendar management software or other administrative tools preferred. Handle sensitive information with utmost confidentiality and professionalism. Quick learner, proactive, able to adapt independently to changes and solve problems. Experience in healthcare or administrative roles preferred but not mandatory.
