Robert Half is working with a leading biotechnology organization is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior leadership. The Executive Assistant will play a key role in supporting executives by managing complex calendars, coordinating meetings and travel, and ensuring day-to-day operations run smoothly. The ideal candidate is detail-oriented, resourceful, and capable of managing multiple priorities while maintaining strict confidentiality.
Job Responsibility:
Manage complex executive calendars, scheduling meetings across multiple time zones and prioritizing conflicting requests
Coordinate internal and external meetings, including preparing agendas, meeting materials, and follow-up documentation
Arrange domestic and international travel including flights, hotels, transportation, and detailed travel itineraries
Prepare presentations, reports, and correspondence using Microsoft Office and other business tools
Serve as a point of contact between executives and internal teams, external partners, and stakeholders
Assist with expense reporting and invoice processing in accordance with company policies
Support planning and coordination of team meetings, offsite events, and company initiatives
Maintain organized records, documents, and confidential executive information
Provide administrative support for special projects and cross-functional initiatives as assigned
Ensure smooth day-to-day operations for the executive team while anticipating needs and proactively solving problems
Requirements:
5+ years of experience supporting senior executives in an administrative or executive assistant capacity
Prior experience supporting leadership within biotechnology, pharmaceutical, healthcare, or corporate environments preferred
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Strong organizational and time management skills with the ability to manage multiple priorities
Excellent verbal and written communication skills
High level of professionalism and discretion when handling sensitive information
Ability to work independently while maintaining strong collaboration with internal teams
Experience with calendar management, travel coordination, and executive-level communication
